Seven admin jobs most small businesses can automate
Automation is not just for large companies. These are the repetitive tasks we see most often in UK small businesses, with a rough idea of what it takes to automate each one.
In most small businesses, a surprising amount of time goes on moving information from one place to another. None of it is difficult, which is exactly why it is worth automating: it is predictable, repetitive and easy to get slightly wrong when you are busy.
Here are the seven jobs we are asked to automate most often, roughly in order of how quickly they pay back.
1. Typing orders into the accounts
If online orders, bookings or Stripe payments are being re-keyed into Xero or QuickBooks, an integration can create the invoices, apply payments and reconcile fees automatically. This is usually a small, low-risk project with a fast payback.
2. Chasing unpaid invoices
Polite, well-timed reminders get invoices paid faster, but nobody enjoys sending them. Accounting software can do some of this; a custom setup can go further, such as adjusting the tone for long-standing clients or stopping reminders when a payment plan is agreed.
3. Building the same report every week
Weekly sales figures, job progress or stock levels pulled from three systems and pasted into a spreadsheet are an ideal candidate. A scheduled job can gather the data overnight and email a clean summary before anyone is in.
4. Creating quotes and proposals
Many businesses assemble quotes by copying an old one and editing it. A simple quoting tool with your prices and terms in one place produces consistent documents in minutes and stops old prices slipping through.
5. Booking and appointment admin
Online booking with automatic confirmations, reminders and calendar updates cuts down on phone tag and no-shows. Off-the-shelf tools handle most cases; custom work is only needed for unusual rules.
6. Keeping stock levels in sync
Selling on your own site, Amazon and eBay at once means stock has to be correct everywhere. Integrations that update all channels when something sells prevent overselling and the awkward refunds that follow.
7. Sorting incoming emails and documents
Supplier invoices, delivery notes and enquiry emails can be read automatically, with the important details extracted and filed. This is one place where AI tools genuinely help, as long as there is a human check for anything that matters.
Where to start
For a week, ask everyone to note any task they do more than twice that involves copying information between systems. Add up the time. The biggest number is usually the best place to start, and it is often smaller and cheaper to fix than expected.
Automation does not have to mean a big project. Some of the most useful jobs we have done took a few days. If you have a list, send it over and we will tell you which items are worth doing.
